Week 2: Clean & Organize Your Contacts

Your Tasks:

  • Task 1: Define your contact groups (e.g., past clients, current leads, referral sources, etc.).
    Use the A/B/C list system, incorporating BANT (Budget, Authority, Need, Timeline) to prioritize contacts:

    • A List: High-priority contacts. These are your repeat or referral clients or favorite clients to work with. For leads, these are people who have a high budget, are decision-makers (authority), have an immediate need, and a short timeline for action.

    • B List: Medium-priority contacts. These are repeat clients, referral clients, or people in a price range or area you want to be in. For leads, they have some budget, some decision-making ability, a potential need, but may have a longer timeline for action.

    • C List: Lower-priority contacts. These are past clients who may do business within the next 12-24 months or potential leads with lower budget, no immediate need, or no decision-making authority at the moment.

  • Task 2: Develop a communication plan for each contact group. When building this plan, consider:

    • Medium: How will you communicate with each group (email, phone, text, print)?

    • Budget: How much can you allocate to each communication method (email campaigns, print mailers, etc.)?

    • Frequency: How often should each group hear from you? Should it be more frequent personal calls for A-list clients or email-only for others?

    • Which email campaigns should they be part of? Should they receive print communications?

    • When should you call or follow-up on a more personal level? Should this be a text or a call?

  • Task 3: Enter at least 2 new contacts into your database. Make sure to categorize these contacts by group and their status within the sales cycle.

  • Task 4: Contact 5 people from your sphere. Update their status and add them to a group if not done already.

  • Task 5: Attend the Friday group check-in call to share your progress and discuss your tasks with other participants.

  • Optional Task 6: Attend the Wednesday morning Zoom session to ask any questions or get help with your tasks.

Our Tasks:

  • We will clean and deduplicate your contacts.

  • If contact dedupe is complete, we will do a contact append and import your contacts.
